1. Introduction and who we are
This Privacy Policy explains how AudioClair AI ("AudioClair AI", "we", "us", "our") collects, uses, shares, stores and protects personal data when you use our website at https://audioclair-ai.lovable.app, our progressive web application, and related features, including the AudioClair Meet notetaker (together, the "Service").

We process personal data in line with the Nigeria Data Protection Act 2023 ("NDPA") and, where it applies to you, the EU and UK General Data Protection Regulations.
In plain English: We collect what we need to run the Service. Your recordings are yours. We do not sell your data. You can access, download and delete your data at any time.
2. Who this policy applies to
This policy applies to visitors to our website, registered users, and people who take part in a meeting where a registered user has invited the AudioClair AI Notetaker (see section 9 and our Meeting Recording and Consent Policy).
You must be 18 years or older to create an account. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, contact us and we will delete it.
3. The personal data we collect
3.1 Data you give us

3.2 Data collected automatically
- Device and log data: IP address, browser type and version, device type, operating system, language settings, pages viewed, timestamps, and error logs.
- Local storage and session data: small pieces of data stored in your browser to keep you signed in and to make the app work offline (see our Cookie and Local Storage Notice).
- Usage data: which features you use and how, so that we can find and fix problems.
3.3 Data from third parties
- Google sign-in: if you choose to sign in with Google, we receive your name, email address and profile picture from Google.
- Meeting participants: if another person's meeting includes the AudioClair AI Notetaker, we may process their voice, name and speech content as it appears in the meeting recording.
3.4 What we do not collect
We do not knowingly collect payment card details (the Service is free), government identification numbers, or precise location. We do not use your voice to build a voiceprint or to identify you biometrically. Speech analysis features measure how something is said (for example pace, filler words and structure) for your own coaching and are not used to identify you.

What we do not do:
- We do not sell your personal data.
- We do not share your personal data for third-party advertising.
- We do not use your recordings, transcripts, documents or chat content to train our own AI models.
- We do not make decisions with legal or similarly significant effect about you based solely on automated processing.
5. Artificial intelligence and automated processing
AudioClair AI uses third-party AI and speech recognition providers to process your content. When you use an AI feature, the relevant audio, text or document content is sent securely to the provider for the sole purpose of producing your result. Depending on the feature, these providers include Google Gemini (through the Lovable AI Gateway), Groq, Cloudflare Workers AI, Hugging Face, Deepgram and Anthropic. The list of service providers is in section 7.
Important points about AI:
- AI output can be inaccurate, incomplete or biased. Transcripts may contain errors, especially with accents, background noise, overlapping speakers or specialist vocabulary. Always verify important information against the original audio.
- Scores and feedback from delivery analysis, The Verdict, Live Arena and games are automated, are provided for personal development only, and are not professional, medical, psychological, employment or legal assessments.
- Our agreements with providers are intended to restrict them to processing your content to deliver the requested output. Each provider's own terms and privacy policy also apply to its processing. We encourage you to review them.
6. How we store and protect your data
- Your account data, recordings, transcripts and outputs are stored in a managed cloud database and file storage with row-level security, so that an account can only read and write its own records.
- Data is encrypted in transit using HTTPS/TLS and encrypted at rest by our infrastructure providers.
- Access to production systems is limited to the operator and is protected by authentication.
- We test and review our security practices, and we act on security reports.
No system is completely secure. If we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Nigeria Data Protection Commission within 72 hours where required by law, and we will notify affected users without undue delay.
7. Who we share data with (service providers)
We share personal data only with service providers that help us run the Service, under confidentiality and data protection obligations, and only as needed.

We may also disclose personal data:
- To comply with law, court orders or lawful requests from authorities;
- To protect rights and safety, including to detect, prevent or respond to fraud, abuse or security threats;
- In a business transfer, such as a merger, acquisition or sale of assets, in which case we will tell you and the same protections will continue to apply;
- With your consent or at your direction.
Recordings and transcripts are never made public. They are visible only to your account unless you deliberately export or share them.
8. International data transfers
AudioClair AI is operated from Nigeria, but our service providers process data in other countries, including the United States and the European Union. Where we transfer personal data outside Nigeria, we do so in line with the NDPA, relying on appropriate safeguards such as contractual protections, adequacy arrangements and the providers' compliance programs. By using the Service, you understand that your data will be processed in these locations.
9. Meeting notetaker and other people's data
When you invite the AudioClair AI Notetaker to a Google Meet or Microsoft Teams meeting, it joins as a visible participant named "AudioClair AI Notetaker", records the meeting audio and video, and produces a transcript and notes for you. The notetaker does not join Zoom meetings.
You are responsible for informing meeting participants and obtaining any consent required by law before recording. Please read our Meeting Recording and Consent Policy. If you were recorded in a meeting and want your data removed, contact us at audioclair.ai@gmail.com with the subject "Privacy Request" and, where you can, the meeting date and the name of the host. We will review and act on your request.
10. Data retention

If your account is inactive for 24 consecutive months, we may notify you and then delete it and its content.
11. Your rights
Under the NDPA, and the GDPR where it applies to you, you have the right to:
- Be informed about how we use your data (this policy)
- Access the personal data we hold about you and receive a copy
- Rectify inaccurate or incomplete data
- Erase your data (the "right to be forgotten")
- Restrict or object to certain processing
- Data portability: receive your data in a structured, commonly used, machine-readable format
- Withdraw consent at any time, without affecting processing already carried out
- Not be subject to solely automated decisions with legal or similarly significant effects
- Complain to a data protection authority
How to exercise your rights: use the tools in Settings (view, export and delete your content and account), or email audioclair.ai@gmail.com with the subject "Privacy Request". We may need to verify your identity. We will respond within 30 days.
Complaints: you have the right to complain to the Nigeria Data Protection Commission (https://ndpc.gov.ng). If you are in the EU or UK, you may also contact your local supervisory authority. We would appreciate the chance to resolve your concern first.
12. Cookies and local storage
We use only essential storage needed to sign you in, keep the app working (including offline use as a progressive web app), and remember your preferences. We do not use advertising or cross-site tracking cookies. See our Cookie and Local Storage Notice.
13. Third-party links
The Service may link to third-party websites or services. We are not responsible for their privacy practices. Please review their policies.
14. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you by email or by a prominent notice in the app before the changes take effect. The "Effective date" and "Version" at the top show when this policy was last updated. Continued use of the Service after the effective date means you accept the updated policy.
