1. What this policy covers
AudioClair Meet lets you invite the AudioClair AI Notetaker to your Google Meet or Microsoft Teams meetings. It records the meeting's audio and video, transcribes it, and produces notes for you. It does not join Zoom meetings.
This policy explains how the notetaker works, what you must do before using it, and what rights meeting participants have.
2. How the notetaker works
- You paste a meeting link into AudioClair Meet.
- The notetaker joins the meeting as a visible participant named "AudioClair AI Notetaker". The host may need to admit it.
- It records the meeting. Recording and transcription are performed by our meeting infrastructure providers (see our Privacy Policy, section 7).
- After the meeting, you receive a transcript, notes and related outputs in your account. Only your account can access them.
The notetaker does not join secretly. It is always visible in the participant list. Hosts and participants can remove it at any time.
3. Your responsibilities as the user
Important: You are responsible for making sure that recording is lawful and that participants know about it. Recording laws vary by country, state and context. Some places require every participant to consent.
Before inviting the notetaker to any meeting you must:
- Tell all participants that the meeting will be recorded and transcribed by an AI notetaker, before or at the start of the meeting, ideally in the invitation and again verbally or in chat.
- Obtain any consent required by law or by your organization's policy.
- Get the host's permission if you are not the host.
- Stop or remove the notetaker immediately if anyone objects.
- Not use the notetaker for meetings you are not authorized to attend or record, or for confidential, privileged, medical, or otherwise regulated conversations unless you have confirmed you may do so.
A short notice you can use: "Heads up: this meeting is being recorded and transcribed by an AI notetaker (AudioClair AI Notetaker) so that notes can be produced. If you do not want to be recorded, please tell me now and I will remove it."
4. Rights of meeting participants
If you were in a meeting recorded by the notetaker, you may:
- Ask the person who invited it to delete the recording or your part of it.
- Contact us at audioclair.ai@gmail.com with the subject "Privacy Request" to ask for access to, correction of, or deletion of your personal data. Please include the meeting date, platform and host's name so we can find it. We will act on your request in line with applicable law and our Privacy Policy.
5. Our role
For meetings recorded through the notetaker, the user who invites it decides why and how the recording is made and is primarily responsible for its lawful use. We provide the tool and process the data on the user's behalf and as described in our Privacy Policy.
6. Misuse
Using the notetaker to record people unlawfully, covertly, or for harassment or surveillance is a breach of our Terms of Service and may lead to immediate suspension, deletion of content, and referral to the authorities.
